This Privacy Policy applies to our products GRADEpro GDT and Database of Evidence Profiles (DBEP) in addition to any and all services related to it, including (but not limited to) user accounts, customer support provided by us, wikis, blogs, social media services (the “Service”).

Specifically, This Privacy Policy governs Personally Identifiable Information (Personal Data) which we collect from you when you are using our Service.

For personal data discussed in this Privacy Policy, Evidence Prime is the data controller under European Union data protection legislation.

What is Personally Identifiable Information?

Personally Identifiable Information is information that can identify you or your clients, such as your name, postal address, email address, phone number, date of birth, postal code, social media identifiers, medical information, content attributed to you and usage preferences.

This policy does not apply to Non-personally identifiable information. Non-personally identifiable information includes any information that cannot be used to identify you, such as your browsing activity, type of web browser, aggregated statistical data such as time spent on the site or number of visitors to the site. Non-personally identifiable information is typically collected through the use of cookies or similar tools. Non-personally identifiable information can be collected by us, and shared with third parties. Non-personally identifiable information is used to administer the Services, and improve the overall effectiveness of our website and services.

Protecting data obtained from minors

You must be 18 years old or older to register to GRADEpro. Evidence Prime does not deliberately process any Personally Identifiable Information of minors below 18 years of age.

When do we Collect Personally Identifiable Information?

We may collect certain types of personally identifiable information when you engage in certain activities through the Service.

We do not collect Personally Identifiable Information that relates personal health information (“Personal Health Data”).

When you create a GRADEpro Account, we ask for certain mandatory information, including:

  • your first name,
  • family name,
  • email address.

Additionally we collect automatically:

  • IP address

You may also voluntarily provide any other personally identifiable information such as your role and institutional affiliation.

You may not use the Service to submit Personal Health Data.

We use cookies and other similar technologies such as pixels and web beacons to manage Service functionality, to store passwords, to collect information on your usage, anonymized login identifiers, and to block unauthorized access or to stop unsolicited electronic messages.

Storage of your Payment details

Your payment details are fully handled by the relevant payment platform and/or payment method/processor. When you subscribe to GRADEpro paid service, we only receive notification from the payment processor about successful processing of your payment. We do not receive, neither store your payment details.

What do we use your Personally Identifiable Information for?

Personally identifiable information is used by us to administer the Service, including to: create and maintain your GRADEpro Account; provide administration services in respect of payments (as applicable); verify your identity; receive your feedback and answer your questions; collect and analyze data and other information relating to the provision, use and performance of various aspects of the Services and related systems and technologies (including, without limitation, information concerning Personal Identifiable Information and data derived therefrom); use such information and data to improve and enhance the Services and for other development, diagnostic and corrective purposes in connection with the Services; disclose such data solely in aggregate or other de-identified form in connection with our business; contact you; administer our agreements with you, including the Terms of Service and this Privacy Policy; and comply with all applicable laws, cooperate with law enforcement.

How do we store and secure information we collect

We use data hosting service providers in Europe to host the information we collect, and we use technical measures to secure your data. We collect information globally and primarily store that information in Europe.

Your payment details are fully handled by the relevant payment platform and/or payment method/processor.

We use reasonable measures to safeguard your personally identifiable information from all unauthorized use, access, copying, destruction and collection. Our services use the Transport Layer Security/Secure Sockets Layer (TLS/SSL) protocol.

How long we keep information

We will only retain your personally identifiable information for so long as it is necessary to fulfill your use of the Services, and for legal, business and regulatory compliance.

Providing and Withdrawing Consent

Certain types of personally identifiable information in respect of certain services are mandatory and necessary for the Services. If you do not provide the mandatory personally identifiable information, you cannot use the Services. For example, your email address is necessary when creating a registration account. We limit the collection of personally identifiable information only to what is necessary for you to engage in the Services.

Other types of personally identifiable information are voluntary and are only collected with your express consent. For example, your role and institutional affiliation. You may withdraw your consent in respect of voluntary personally identifiable information at any time.

If we intend on collecting, using, or disclosing your personally identifiable information for a previously undisclosed purpose, we will make efforts to receive your consent before doing so.

Cookies

You may withdraw your consent for the information collected by cookies and similar technologies by disabling the cookies on the Service website. Most browsers permit users to manually remove cookies, require approval for cookies, or disable all cookies. The site or microsite may not function if your browser does not accept cookies. Who can We Disclose your Personally Identifiable Information to?

We will not release, share, sell, rent or trade your Personally Identifiable Information with any third party except as provided for in this Privacy Policy.

We will only share whatever personally identifiable information is necessary to administer and fulfill the Services, such as with other users that you have permitted access to use the Services within a project.

We may disclose your personally identifiable information to authorized third parties to administer the Services, such as administering and processing payments.

We may disclose your personally identifiable information to third parties if you have violated the Terms of Service or any other agreements you are subject to, to comply with all applicable laws, and any lawful requests from governmental, legal or regulatory authorities. We may disclose your personally identifiable information on a confidential basis to parties connected with a financing, sale, or other disposal of all or part of the business or assets.

Accessing and Updating Personally Identifiable Information

You may update or correct your registration information by logging into your GRADEpro Account and updating your information. You may delete any non-mandatory information in your registration account at any time. Please keep your registration information up to date.
